"Back-office software" gets sold as one big category, but most small businesses only need three or four specific things done well — not a sprawling ERP system with 40 modules you'll never open.
Here's what actually matters, and how to avoid paying for complexity you don't need.
What most small businesses actually need
- Billing and invoicing — generating a proper bill or invoice in seconds, GST-compliant if you're registered.
- Stock or inventory tracking — knowing what you have, what's running low, without a physical count every week.
- Customer and credit records — who owes you what, and for how long, instead of relying on memory or a notebook.
- Basic reporting — today's sales, this month's total, your top-selling items — without exporting anything to Excel by hand.
That's it, for the vast majority of retail shops, small manufacturers, clinics and service businesses. Payroll modules, multi-warehouse logistics, and advanced analytics are things you'll grow into — not things you need on day one.
Why "off-the-shelf" software often doesn't fit
Generic back-office software (Tally, Vyapar, Zoho and similar) is genuinely good at accounting. But it's built to be generic, which means:
- It has features for businesses nothing like yours, which makes the interface more confusing than it needs to be
- It usually doesn't match exactly how your staff currently take orders or payments
- You're paying a subscription forever, for a tool shaped around someone else's business
That's a completely reasonable trade-off if you want something proven and don't mind the learning curve. The alternative is software built around your actual counter, your actual stock categories and your actual staff's reading level — which is where a custom build earns its cost back.
What it typically costs in India
| Approach | Typical cost | Best for |
|---|---|---|
| Notebook / Excel | ₹0 | Very small operations, for now |
| Off-the-shelf SaaS (Vyapar, Zoho, etc.) | ₹300 – ₹2,000/month | Standard accounting needs, fast to start |
| Custom-built, fixed price | ₹30,000 – ₹60,000 one-time | A specific workflow off-the-shelf tools don't fit well |
The right test isn't "which software has the most features" — it's "which one will my staff actually use correctly on a busy Saturday."
